Circulation Assistant Manual: About the Job

This guide provides important information for student employees

Job Description

The Circulation Assistant monitors access, checks books, anatomical models and equipment into and out, answers the phone, performs the duties described in the box to the right, and any additional duties as assigned. 

 

Standards of Behavior

Student employees are the 'crew' of the Learning Commons and need to act in a manner that reflects well on our department.  You are expected to treat borrowers with respect and in turn receive respect from them as well. 

Please Conduct Yourself in the Following Manner

Respond in a courteous and helpful way.

Attempt to ensure that the Learning Commons is a place of quiet study and learning.

Respect other workers by being on time and do not leave until your replacement arrives. Please inform the Circulation Supervisor if your replacement has not arrived and that you are off-duty. 

Non-student employee(s) are not allowed behind the circulation desk or in the Circulation Office Room 117D.

Carry out regular and assigned tasks before activities related to your studies.

Failure to observe these standards may result in termination of employment.

 

Duties

Circulation Assistant responsibilities include:

1.Staying at the desk at all times except when helping someone in the immediate area.

2. Properly circulates materials

3. Provides borrowers access to reserve materials

4. Direction to libraries resources.

5. Answering the telephone, transferring calls. 

6. Visitor count at specified times.

7.  Cleaning and disinfecting the library which includes wiping down surfaces, keyboards, and vaccuming.

8. Any other duties that may be added during the quarter.

 

Time Cards - Paycom

At the start of work-time you need to punch into Paycom. There is an App to do so on your mobile device. Ask the Circulation Supervisor for more details.

It is very important that you keep track of your hours on Paycom, the automated timeclock used by the library.  Hours that are not accounted for are hours that you will not receive payment for, so be careful recording your work time.

It is important to show up for your shift when you say you are going to. If you have a test to take or other personal business to attend to you must let the library staff know if you will be late or delayed ahead of time, and understand that you will not be paid for that time.

Employee time and payroll are managed by Paycom.com. Upon your hire, you will be given a login and password to the website, and you can download an app for your cell phone that makes logging in when you arrive and logging out when you leave easy.

Training and information about Paycom and the app can be found on the Paycom website, or ask your supervisor for instructions.

All time sheets are checked for approval by the Circulation supervisor prior to the end of each pay period, so be careful recording your shifts. If your time is not approved, you will not get paid and you must add your time retroactively.

Paychecks are issued every two weeks by direct deposit.

If you are unable to come in for your shift you must let either the Circulation Supervisor know at least 30 minutes in advance.

Work Schedule and Schedule Changes

Work Rules

Circulation Assistants select what hours they wish to work, up to a maximum of 6 hours per week by contacting the Circulation Supervisor and working out a schedule. The schedule lasts the entire quarter. All scheduling is done on a first-come, first serve basis. Employees may not sign up for more hours than are approved by the Financial Aid Office. A copy of the schedule is at the Circulation Desk in the form of a calendar.

Schedule Rules

Students who cannot work their scheduled shifts for any reason must let their supervisor know as soon as possible so that there are not gaps in circulation desk coverage. All schedule changes need to be negotiated with the Circulation Supervisor and/or Library Director.

Students failing to work their assigned time may have their employment terminated.
